The success of the SSPYHA program depends on the many volunteers who donate their time to help with the program.  For the 2018-2019 hockey season, we will require each family to volunteer 15 hours of their time to help with the association operations.

**SSPYHA is hosting the State Tournament for the 2016-2017 season. Because of this, 2 of the volunteer hours must be dedicated to the State Tournament. 6 hours must be regular tournament hours. **

Opportunities to fulfill your volunteer hours will be sent via email and posted on our DIBS volunteer system this season.  DIBS opportunities will also be listed on the home page of the website for viewing. Each family will have an account set up with DIBS once they register their child with SSPYHA.  Your username and password for DIBS will be the same username and password you used to register for the season. 

Tournament sign-ups will be placed on the DIBS system as soon as the brackets and game times are finalized for that tournament.  Upcoming home tournament dates will be listed on the SSPYHA website.  Additional volunteer opportunities will be posted throughout the season and will be available on a first come basis. Once you choose a task, it will be your responsibility to complete that task at the time required.

If you sign up for a shift on DIBS and you need to cancel, you must do so within 72 hours of your shift time.  If you do not cancel or find a replacement, and do not show up for your shift, you will be automatically charged a non-refundable $50 NO SHOW Fine.  This will be on top of any regular volunteer fees and is NOT refundable.

To make everyone’s volunteer experience easier, we will no longer be using volunteer forms to keep track of family volunteer time.  The DIBS administrator will only adjusts the system if we have a volunteer who does not perform the duties required.  This system allows families and the SSPYHA Board to view how many hours each family has accumulated at any time during the season.  No more paperwork or signatures to track down!

The SSPYHA Board is open to considering additional activities to be counted as volunteer time to help in the operations of the Association.  If you think you have a special skill or would like to contribute to the Association in a different way, please contact a board member with your idea.  Not all ideas will work for the Association, but we are more than willing to listen to ideas from our members to help better the program and experience for all players. 

FEES

The volunteer fee is $300.00; however, unless you choose the buy-out option, your volunteer fee will not be charged to your account at the time of registration, as it has been in the past.  Instead, the fee will be spread out over the season. 

Each family will need to have at least half of your volunteer hours scheduled and/or completed by Dec. 31st 2016.  If you do not, an automatic billing invoice for half of your volunteer fee will be assessed on January 1st.  Finally, if by March 31st 2017, you have not fulfilled ALL of your volunteer requirements, the remaining balance of your volunteer fee will be assessed to your account.

Each family will have the option to buy-out of their volunteer responsibilities by paying a $300.00 fee at the time of registration.  There will be no other time when the buy-out option is available.  If you would like to buy-out, you must do so at registration by clicking the buy-out box in the list of fees.  If you pay on a monthly basis rather than up front, the fee will be split equally throughout your payment program. 

When you register with SSPYHA for the 2016-2017 season, YOU ARE AGREEING TO PAY ALL VOLUNTEER FEES, AS ASSESSED BY SSPYHA. 

CREDITS:

SSPYHA will run reports on a monthly basis to monitor hours.  Reports will not be run at the request of families.  All families will have the ability to view their hours worked within the DIBS system by logging on to it at any time

SSPYHA now uses the DIBS volunteer scheduling system. Please go to here to access the DIBS system. You will be asked to login in order to view and claim available volunteer opportunities. DO NOT SET UP A NEW DIBS USER ID AND PASSWORD! All families will be automatically downloaded into DIBS after registration. If you have forgotten the username or password that you used to register, you can click on the links on the login pages for password resets and username information. Any member of your family can perform tasks. Your volunteer hours are calculated on a family basis, not an individual basis.

Once you have logged into DIBS, you will be able to view volunteer opportunities that are open. If you need to cancel a claimed shift, you must do so within 72 hours of the shift. If you do not cancel or find a replacement for your shift, you will be accessed a $50.00 NO SHOW Fine.
